What happens to your CV
Six steps, and no black box
Here is the whole path: what we do with your CV, the consent we ask you for before anything is published, and the point at which — and by whose decision — your CV can reach a client.
You submit your CV
One short form. You upload your CV and give us your name and contact details. The form includes a bot check so automated submissions stay out of the queue.
A recruiter reviews it
A Sofia HR recruiter reads your CV and checks it against the client briefs we are currently working on. Submitting it does not put your profile on the website, and the CV file is not passed to any client at this stage.
We ask your consent, if we want to represent you
Before anything about you appears publicly, we contact you and ask for your consent — to our Data Privacy Agreement and everything else. Nothing is published unless you give it, and you can withdraw it at any time.
Your profile summary goes on our website
Once you have consented, we may publish a profile summary where potential clients can see it. We publish your first name, your role, your skills, your years of experience and a summary we write — never your full name, your contact details, or the CV file itself.
We contact you, on a client's behalf
Clients contact Sofia HR, not you. When a client's brief lines up with your profile, we get in touch on their behalf to arrange a conversation about the work, your availability and the contractor fee we would discuss on your behalf.
The CV is shared later, if we decide to
Your CV is shared with a client only once you have passed vetting and an initial interview. During that interview we confirm whether your profile will be shared, and that decision is Sofia HR's to make — you are not asked to approve each introduction.
How long it takes
A recruiter reviews every submission
Review is the one step with a fixed expectation. Everything after it depends on whether a client's requirement lines up with your profile and how quickly a conversation can be arranged.

While it is on file
Submission is not a promise of work, and it does not publish anything: we are building a database of profiles, and a profile is shown on our website only after we have contacted you and you have consented.
If a client is interested
We get in touch on the client's behalf to arrange a conversation — the work, the client's requirement, your availability, and the contractor fee we would discuss on your behalf.
After vetting and an interview
Only once you have passed vetting and an initial interview may your CV be shared with a client. We confirm during that interview whether we will share your profile; that decision is ours, not yours to approve.
If nothing comes of it
You will not get a rejection email. If a client is interested in your profile, we contact you; otherwise it stays on file, reviewed again as new briefs arrive, until it is removed under the retention and deletion schedule in the privacy notice — or sooner, if you ask us to delete it.
Your CV and your privacy
Processed under a Data Privacy Agreement
Your CV is personal data, and it is handled on that basis. This is the short version of the arrangement — the privacy notice sets out the detail.
- Submitting a CV is processed under our Data Privacy Agreement. It covers what we collect, why we hold it, and the rights you can exercise over it.
- Submitting does not publish your profile. If we want to represent you, we will ask for your consent first, and we publish nothing about you until you have given it. The CV file is never published, and it is shared with a client only after vetting and an initial interview, at Sofia HR's discretion.
- The submission form is protected by Cloudflare Turnstile, a bot check that keeps automated traffic out of the queue.
- We keep your CV and the record of the review while they are current. The privacy notice sets out the retention and deletion schedule, and you can ask us to delete them sooner at any time.
- You can ask for a copy of what we hold, ask us to correct it, or ask us to delete your CV and the record of the review at any time by emailing [email protected].
